Alienations and Encumbrances Checklist

FIRST! Do you have everything you need?

Before you begin the online submission process, please ensure you have completed the Intake Process and have all the appropriate information and documents you need to complete the online submission in one sitting.

You will need the following for ALL submissions:

  • Parish name, address, phone, and email
  • Primary contact name and role in parish (clergy, warden, or treasurer only)
  • Primary contact phone and email
  • Certification of parish meeting, including resolution and vote to encumber or alienate

In addition you will need…


For Encumbrances

  • Provide a brief history of the parish and its context in the community.
  • How will this encumbrance enhance the life of the parish?

Lease

  • Final draft of lease
  • Market research of rental rates
  • Cost benefit analysis
  • Disclosure of Information on Lead-Based Paint and/or Lead-Based Paint Hazards

Loan

  • Loan preapproval letter
  • Copy of promissory note
  • Cost benefit analysis
  • What is the purpose of the loan you are seeking?

Easement

  • Land survey including proposed easement
  • Easement contract
  • Cost benefit analysis
  • What financial gain or loss will the parish incur from the easement?

For Alienations

Be prepared to respond to the following for all alienations

  • What alternatives have you considered to disposing of the property?
  • Provide a brief history of the parish and its context in the community.
  • How will this alienation enhance the long-term life of the parish?
  • Documentation of three (3) highest, best bids
  • Documentation of at least three (3) comparable sales
